General Procedure for EPF/ETF Name or NIC Number Correction

Introduction

Maintaining accurate employee information in EPF (Employees’ Provident Fund) and ETF (Employees’ Trust Fund) records is essential to avoid issues when claiming benefits or verifying employment details. Errors in your name or NIC number can occur due to clerical mistakes or data mismatches. This article provides a clear step-by-step guide on how to correct such discrepancies efficiently through your employer, ensuring your records remain accurate and compliant with Sri Lankan labour regulations.

1. Notify Your Employer

If you identify any discrepancy in your name or NIC number on your EPF/ETF records, your first step is to inform your current or previous employer. Employers are the authorized point of contact for initiating corrections with the relevant authorities.

2. Employer Request Letter

Your employer must prepare a formal letter addressed to the relevant department (EPF or ETF) requesting the correction.
This letter should:

  • Clearly mention the incorrect information currently recorded.
  • Provide the correct details as per your NIC or Birth Certificate.
    The employer’s letter serves as official confirmation of the amendment request.

3. Gather Supporting Documents

You must provide all necessary supporting documents to verify your correct details. These documents should be certified as true copies by your employer with their official seal and signature.

4. Submission of Documents

The employer is primarily responsible for submitting the request letter and certified documents to the relevant authority.
However, in urgent situations, you may also submit the documents personally to expedite the process.

The Superintendent, EPF Department, Central Bank of Sri Lanka, Colombo 01.

Documents Required:

  • Employer’s Request Letter
  • Certified Copy of NIC
  • Certified Copy of “B” Card
  • Certified C Form
  • Certified Copy of Birth Certificate

Submission Address:
The Manager – Member Accounts, ETF Board, Labour Secretariat, Colombo 05.

Documents Required:

  • Employer’s Request Letter
  • Certified Copy of NIC
  • Certified Copy of “B” Card
  • Certified Copy of Birth Certificate
